Privacy Policy

LandlordOS (“we”, “our”, “us”) operates the property management platform at app.thelandlordos.com. This policy explains what data we collect, how we use it, and your rights.

Account data: Name, email address, and password (hashed) when you register.

Property & tenant data: Information you enter about your properties, units, leases, and tenants — including tenant names, email addresses, and phone numbers you provide.

Billing data: Subscription and payment details handled entirely by Stripe. We do not store card numbers.

Usage data: Log data and analytics (page views, feature usage) to improve the product.

• To provide, maintain, and improve the Service.
• To process payments and manage subscriptions via Stripe.
• To send transactional emails (password reset, lease alerts, rent reminders).
• To enforce our Terms of Service and prevent abuse.
• To comply with legal obligations.

We do not sell your data or your tenants' data to third parties.

You are the data controller for the tenant information you store in LandlordOS. We act as a data processor on your behalf. You are responsible for ensuring you have the legal basis to store tenant personal data (name, phone, email) under applicable laws such as CCPA or state landlord-tenant statutes.

Tenant phone numbers are used solely to construct WhatsApp wa.me deep links that you initiate manually. Phone numbers are never shared with third parties.

Your data is stored in Supabase (PostgreSQL) with row-level security enabled — no user can access another user's data. All data is encrypted in transit (TLS) and at rest.

We retain your data for as long as your account is active. On account deletion, data is permanently removed within 30 days.

We use the following third parties to operate the Service:

• Supabase — database and authentication.
• Stripe — payment processing. See Stripe's Privacy Policy.
• Vercel — hosting and edge network.
• Resend / SendGrid — transactional email delivery.

We use session cookies for authentication (via Supabase Auth). We do not use advertising or tracking cookies. You can disable cookies in your browser; however, the authenticated portions of the app require cookies to function.

Depending on your location, you may have the right to:

• Access the personal data we hold about you.
• Request correction of inaccurate data.
• Request deletion of your account and associated data.
• Export your data in a portable format.

LandlordOS is not directed at children under 18. We do not knowingly collect data from minors.

We may update this Privacy Policy periodically. We will notify you by email or in-app notice before material changes take effect. Continued use after the effective date constitutes acceptance.
